KOSMO feature

KOSMO answers the same questions, every time

In short

New staff ask the same questions in their first weeks: where is what, who is responsible, how does this process run. KOSMO answers them from your own guides, policies and instructions – at any time, with references, and without experienced colleagues being interrupted for it.

Knowledge that otherwise hangs on individuals

In most organisations the knowledge needed for induction exists – it is just scattered across manuals, intranet pages, policies and presentations. People still ask the colleague at the next desk, because searching takes longer than asking.

KOSMO makes that material answerable: new staff ask their question in ordinary language and get the answer with the evidence from the right document. That relieves experienced teams of recurring enquiries – and newcomers do not have to steel themselves to ask for the fifth time.

The same mechanism carries beyond induction: training material, work instructions and administrative questions – leave requests, travel expenses, tool instructions, data protection requirements – can be stored in just the same way.

Knowledge transfer when experienced colleagues leave

Onboarding is only the visible half of the problem. The other half is departure: when someone retires after twenty years, knowledge disappears that nobody ever wrote down – because it never seemed necessary while you could simply ask.

With the cohorts currently leaving working life, this is hitting many organisations at once. Classic handover documents help only so far: they are written under time pressure, rarely read and even more rarely maintained.

A body of knowledge you can question changes the economics: what has been documented once stays findable – three years later too, and for someone who never met the person. And because gaps show up when questions go unanswered, documentation gets written where it is actually needed rather than across the board on spec.

The precondition remains that the material is maintained. How you see what an answer rests on is set out under Source references & PDF viewer; the role permissions play under Permissions.

Your documents are the basis: KOSMO reproduces what is in the documents you store. Outdated guides lead to outdated answers – maintaining the sources stays with you, and we cannot guarantee factual accuracy.

FAQ

Häufige Fragen

Do we have to write new material for this?

No. KOSMO works with what you have – manuals, policies, presentations, intranet content. Experience shows gaps become apparent quickly in the process.

Do new staff see everything?

Only what their group is cleared for. HR or contract documents stay out of reach if they do not belong to the group.

Does this replace induction by people?

No – it takes the repetition out of it. For judgement, context and culture, people remain responsible, and time is freed up for exactly that.

How do I know whether an answer is correct?

Every answer names its source and can be read in the built-in viewer. During induction in particular, that look is worth taking.

Does this also help with knowledge transfer before a retirement?

Yes, that is one of the most common reasons for introducing it. Whatever has been documented and connected once stays findable – including for someone who never met the person who left.

How do we start if barely anything is documented?

With what exists. The gaps then show up in the questions that go unanswered – a far more reliable list of priorities than a documentation drive on spec.

Do apprentices and managers see the same thing?

Only in so far as their groups have the same clearances. Group membership is how you control which level of knowledge is visible to whom.
