The answer turns straight into an email
KOSMO can connect emails as a knowledge source and open answers directly in your email program – with the text already inserted. That removes the copying between assistant and mailbox: you check the message, add to it if needed, and send it.
Two directions: in and out
Emails as a source: correspondence often contains knowledge that appears in no manual – arrangements, commitments, clarifications. Connected to KOSMO, this material becomes searchable and feeds into answers with references.
Answers as email: the other way round, an answer can be opened directly as an email. The mail program starts with the text already inserted, so nobody has to select, copy and paste.
The time saved lies less in the individual case than in the frequency: anyone answering enquiries daily saves a few steps each time – and avoids the errors that creep in while copying.
What it saves
The message opens with the text in place – selecting, copying and pasting are gone.
Arrangements and clarifications from emails become findable instead of silting up in mailboxes.
KOSMO prepares the text – checking and sending is done by you.
You stay in your familiar email program instead of typing in yet another tool.
Data protection when emails become a knowledge source
Mailboxes are the most delicate body of data an organisation has. Confidential material sits next to trivia there, and personal data is almost always involved. Anyone opening up correspondence for an AI assistant therefore has to answer two questions: where is it processed, and who gets to see what.
KOSMO answers the first through where it runs: on-premise or in our German data centre, with no US cloud and no training on your content. Connected emails do not leave that environment. That is the essential difference from assistant features that pass mailboxes on to a cloud service.
The second question is answered by group permissions: only sources the person asking is cleared for are drawn on. A connected mailbox does not suddenly become readable for everyone.
Which mailboxes you connect at all stays your decision – in practice these are usually function-based addresses such as info, support or sales mailboxes, not the personal mailboxes of individual staff. What the German data protection conference says about such systems is summarised under RAG & data protection.
Check before sending: KOSMO inserts the text but sends nothing by itself. As with every AI answer: the content comes from your sources and should be read before it goes out – responsibility for the message stays with you.
Häufige Fragen
Does KOSMO send emails on its own?
No. The message opens with the text inserted in your email program. Checking, adjusting and sending stay with you.
Which email program does this work with?
The message is opened through whichever program is set up for email on the device. What that looks like exactly in your environment is something we look at in the demo.
What happens to the connected emails?
They are processed like other knowledge sources in your KOSMO instance – on-premise or in our German data centre, with no training on your content.
Does everyone see the same emails?
No. Group permissions apply here too: only sources the person asking is cleared for are drawn on.
Do we have to connect personal mailboxes?
No, and in practice that is rarely done. The usual choice is function-based addresses such as info, support or sales mailboxes, where the commercially relevant knowledge converges anyway.
How does the connection work technically?
Through IMAP, the same standard your email program uses. Which mailboxes are connected is your decision.
Can KOSMO reply to a specific message?
KOSMO prepares the reply text and opens it in your email program. Checking, adding and sending are done by you – nothing is sent automatically.
